At OpenCommonsConclave, we recognize that plans can change, and we are committed to providing clear and equitable refund policies. This document specifies the criteria under which refunds are provided for our yacht rental services.
Please review this policy thoroughly prior to confirming a reservation. By securing a charter with OpenCommonsConclave, you consent to and accept these terms for refunds.
Standard Cancellation and Refund Schedule
More than 72 Hours Before Charter
Qualifies for: Full reimbursement except for service charges
Processing Duration: 5-7 working days
Service Charge: €50 for credit card deals
Conditions: Must be submitted in written form through email or telephone
24-72 Hours Before Charter
Qualifies for: Half the overall cost of the charter
Processing Duration: 7-10 working days
Service Charge: €25 subtracted from the reimbursement amount
Conditions: Credible reason needed; administrative expenses incurred
Less than 24 Hours Before Charter
Qualifies for: No reimbursement available
Exception: Exceptional circumstances may receive consideration
Alternative: Voucher for charter services may be given, subject to managerial discretion
Conditions: Proof required for claims regarding emergencies
Weather-Related Cancellations
Our Commitment to Weather Safety
The safety of our guests is paramount. Should the weather be deemed unsafe for yachting by our certified captain, we offer the following alternatives:
- Complete Refund: If a reschedule is impractical, a full refund will be offered
- Rescheduling: The charter can be moved to another available date at no additional expense
- Charter Voucher: A voucher valid for a year from the date of the original charter
Evaluating Weather Conditions
Our process for determining weather safety includes:
- Assessing wind velocity and bearing
- Determining wave stature and sea state
- Visibility and forecast for precipitation
- Advisories and cautions from the Coast Guard
- Evaluation of safety by the professional captain
Timeline for Decisions: Choices regarding weather cancellations are finalised not later than 4 hours preceding the departure schedule.
Reimbursements for Medical Emergencies
Cases of Emergency
We are sympathetic to the unforeseen nature of medical crises. The following predicaments may receive special consideration:
- An abrupt ailment or injury necessitating hospitalization
- Passing of a close family member
- Military mobilization or urgent recall
- Legal obligations such as jury duty or subpoenas
- Natural calamities impinging on travel plans
Mandatory Documentation
In order to process requests for emergency refunds, we require:
- Hospital statements or medical certification
- Official testament of death (where relevant)
- Orders from the military
- Official notice of court or jury duty
- Emergency announcements or travel cautions
Processing: Emergency repayment requests are handled within 3-5 business days after submission of appropriate paperwork.
Operational Cancellation Policy
Technical Failures
In the event that your appointed vessel fails mechanically and it can't be resolved:
- Substitute Vessel: We will endeavor to offer a comparable replacement
- Complete Refund: Should no equivalent option be viable
- Partial Refund: In case the alternate vessel has different pricing
- Additional Recompense: Additional compensation can be considered for the inconvenience
Unavailability of Crew
In unusual cases where we can't provide certified crew:
- Substitute crew will be provided when feasible
- Complete refund if the charter is not possible
- Opportunity to reschedule at no extra fees
Processing of Refunds
Method of Reimbursement
Reimbursements are given back using the original payment method:
- Credit Cards: 5-7 business days
- Direct Bank Refunds: 7-10 business days
- Cash or Check: 3-5 business days
Fees for Processing
Credit Card Transactions
A €50 fee applies to cancellations requested more than 72 hours before the charter
Bank Transfer Operations
There is a €25 fee for all refunded bank transfers
Additional Fees for International Transactions
Extra charges may be applicable for international transactions
Charter Vouchers
Issuance of Credits
Charter credits may be given as an option to refunds under certain situations:
- Late cancellations (under 24 hours before departure)
- Cancellations due to weather
- Requests for rescheduling on one's own accord
- Disruptions in operations
Conditions of Vouchers
- Validity: Good for 12 months since issue date
- Transferability: Non-assignable to other individuals
- Worth: The entire value of the charter excluding service fees
- Application: Applicable to any accessible charter
- Expiration: Not extendable past 12 months
Partial Refunds for Incomplete Services
Interruptions During Service
If your charter is adversely affected or shortened due to our responsibility:
- Proportional refund based on the time not utilized
- Credit for an upcoming charter of identical monetary value
- Free services or possible upgrades
Disruptions Caused by Clients
Should a charter have to end prematurely due to guests' misconduct or safety infractions:
- No reimbursement for the remainder of the time
- Full payment will be required
- Extra expenses may be incurred
Settling Refund Disagreements
Should there be a disagreement over a refund judgment, the options available to you include:
- Requesting an evaluation by our leadership team
- Providing supplementary documents or proof
- Seeking help through consumer rights organizations
- Considering legal solutions aligned with the governing laws

Your application should include:
- Confirmation code for the reservation
- Date and timing of the charter
- Justification for the cancellation

Step 3: Assessment and Completion
We will acknowledge your appeal within one day, appraise it taking into account this policy, and provide a decision within two days. Any authorized refunds will be executed within the times outlined earlier.
Critical Information
- Each appeal for a refund must be communicated in written format
- Reimbursements will be made in €, disregarding the currency used initially
- It is highly advisable to have travel insurance
- Terms within this policy may be updated given a 30-day notification
- Refunds are subject to pertinent tax laws and regulations
